Financial Director / Human Resources

Seeking qualified individuals to provide financial and human resources services for the Daniel Pitino Shelter serving vulnerable populations seeking housing.

This is a part-time position working 25 hours a week with a flexible schedule.

Summary of Responsibilities:

The organization’s financial and human resources goals and objectives are supported and carried out efficiently and accurately by the Financial Director.

Specific Responsibilities and duties:

Daily operations are coordinated and accomplished efficiently and according to policies and procedures.

Financial information is current and accurate.

  • Enters and maintains data in the agency’s financial system according to policy.
  • Processes invoices and receipts accurately and timely, according to policy and procedures.
  • Reviews financial reports at least monthly to ensure accurate data.
  • Records month-end journal entries and other entries as needed.
  • Updates contributor information as needed and required.
  • Performs bank reconciliations on all accounts according to policy and procedures.

Knowledge of federal, state, and local laws and regulations results in accurate and timely filing and payment of required reports and taxes.

Payroll is prepared and processed accurately and timely according to policy and procedures.

Personnel records are accurately maintained, and benefits are administered timely and accurately.

  • Maintains employee records and updates as needed and required.
  • Ensures workers’ compensation claims are addressed and filed accurately and timely.
  • Assists employees with insurance claims as needed.
  • Ensures vacation and sick leave accruals are current and accurate.
  • Ensures federal and state employment requirements are followed and all required information is posted.
  • Maintains current enrollment in company-provided and optional benefits.

Agency resources are allocated to maximize benefits and services to clients, staff and community.

  • Collaborates with shelter leadership, staff, and board to prepare the annual budget.
  • Maintains budget in agency financial system.
  • Reviews budget at least monthly and makes recommendations to Executive Director as needed.

Information is effectively and timely communicated between staff, board members and other stakeholders.

  • Prepares monthly financial statements for review by Executive Director and board.
  • Produces all requested financial reports for Executive Director, board, and staff.
  • Actively participates in two-way communication among board, Executive Director and co-workers and other stakeholders to ensure all are informed of pertinent information.

Funding sources are maximized to provide necessary resources for service delivery.

  • Assists shelter leadership and staff with grant applications.
  • Maintains current knowledge of requirements for management and reporting for all grants awarded to and received by the agency.
  • Allocates resources accurately to each funding source.
  • Ensures timely request for funds and reimbursement, according to each funding source guidelines.
  • Prepares and files all required financial documentation and reports required by the funding source timely and accurately.

Manages Human Resources in partnership with Executive Director and Operations Director to include:

  • Recruit and hire staff as needed
  • Ensure onboarding of staff occurs and they are appropriately trained by their supervisors
  • Create and maintain a rewarding company culture
  • Oversee disciplinary actions

  • Demonstrates the knowledge of and the ability to effectively use communications tools. (e.g., telephone system, e-mail, fax, etc.)
  • Demonstrates effective, respectful oral and written communication skills with staff, parents, children and community.

Accountability:

The Financial Director reports to the Executive Director for his/her performance.

Minimum Qualifications:

General:

  • Strong background in financial management
  • Willingness to provide information to complete and undergo a National Service Criminal History Check
  • Be at least 18 years of age at start of service
  • Citizen, national, or lawful permanent resident of the United States
  • Bachelor’s Degree or equivalent in education and experience will be considered.

The position will remain open until filled. Compensation is $18 to $20 an hour.

The Daniel Pitino Shelter is a non-profit, non-denominational, privately supported organization dedicated to breaking the cycle of homelessness through a community collaborative approach, by addressing the needs of homeless or housing insecure individuals and families through emergency shelter, transitional housing, and permanent supportive housing. Case Manager

Seeking qualified individuals to provide case management for vulnerable populations seeking housing.

This is a full-time position working 40 hours a week typically between the hours between 9 a.m. to 5 p.m. with a possibility of working outside of this time frame. Part-time work is an option for retired individuals with experience in serving vulnerable populations.

Overview of Job:

Provide housing services to economically disadvantaged individuals and families including those experiencing homelessness. The goal is to acquire or maintain safe, healthy affordable housing.

Primary responsibilities: Case Management for Housing Services:

  • Housing-focused case management: including conducting intakes for clients to establish service plans, and use of housing-focused tools (VI-SPDAT) during on-site or client home visits to assist with housing stabilization.
  • Housing counseling: develop client-specific action plans to acquire and/or retain housing.
  • Client assessment and intake: conduct assessments (i.e. VI-SPDAT) for appropriate housing assistance or referrals for individuals and households experiencing or at risk of homelessness. Assessments may include information on other services needed by the individual or household.
  • Client paperwork/documentation: assist individuals and households in obtaining necessary documentation needed for housing assistance and funding sources.
  • Service referral: complete referrals to other agencies for supportive services to assist clients in acquiring other resources for self-sufficiency, maintaining housing, and/or achieving greater financial stability.
  • Ongoing case management and client support: including education, employment, and financial literacy support and guidance, connecting clients to in-kind emergency services such as food, clothing, transportation, or medical care, assisting clients in applying for public benefits such as SNAP, K-Tap, Medicaid, SSI/SSDI, and other cash and non-cash benefits, transportation to service providers, accompany clients to meetings/appointments.
  • Rent or utility assistance: provide emergency rent or utility assistance to individuals at risk of eviction or utility shut off and other financial assistance.
  • Program support and operations: activities related to the continuation of programs and services for clients including case management notes, data entry (i.e. KYHMIS), personnel activity records, maintaining client files, writing and submitting client and data reports, recordkeeping related to client funding sources, and/or securing food or shelter supplies.
  • Voluntary client sessions: provide training and education on parenting, life skills, personal goal setting, financial management, health and safety, tenant education, job readiness, and employment.
  • Employee training: attend local, regional, state, or national training to acquire new skills that will support the employee in delivering services to their clients or communities.
  • Capacity Building Activities: Secure donations for clients such as food, toiletries, clothes, bedding, furniture, kitchen utensils, dishes, and other essential items to support clients experiencing homeless or trying to maintain housing.

Additional Education/Work or Volunteer Experience:

Top Priorities:

  • Computer skills including Microsoft Word and Excel with the ability to learn new programs.
  • Experience in Human Services and with a variety of populations (mentally ill, disabled, substance users, etc.)
  • Ability to solve problems, make decisions, resolve conflicts, and listen.
  • Ability to deal calmly in crisis situations.
  • Strong interpersonal skills with the ability to be compassionate and firm simultaneously.
  • Knowledge of community resources.
  • Confidentiality.

Minimum Qualifications:

General:

  • Willingness to provide information to complete and undergo a National Service Criminal History Check
  • Be at least 18 years of age at the start of service
  • Bachelor’s degree in social work or humanities field. Practical experience can offset the degree requirement.
  • Possess a valid driver’s license and insurance to drive company vehicles.
  • Citizen, national, or lawful permanent resident of the United States
  • Bachelor’s Degree preferably in social work/humanities or equivalent in education and experience will be considered.

The annual salary will be between $26,000 to $32,500 based on experience and education.

Interviews will begin the week of May 15 and the position will remain open until filled.

This is a grant-funded position through the Kentucky Housing Corporation and the grant spending guidelines expire in September 2023.
